We ask you to review Cinema Orion's rental terms before confirming your venue booking. By confirming the reservation, you agree to the rental terms below.

General information about the rental:

The nature of events held at Cinema Orion (e.g., film screenings, seminars, meetings, etc.) will be agreed upon separately with the lessor.

The renter of the premises must be at least 18 years old, unless otherwise agreed.

Rental venue:

The Cinema Orion theater hall, lobby, and the restrooms connected to the lobby. The rental period will be agreed upon on a case-by-case basis and must include both pre-arrangements and final cleaning. Access to the theater is only permitted once the rental period has begun.

Cinema Orion is not fully accessible. There are two wheelchair spaces located in the balcony, but unfortunately the theater does not have an accessible (disabled) restroom. Guests using wheelchairs must be accompanied by an assistant and are asked to notify us of their arrival in advance by email at [email protected]. Unfortunately, the premises are not accessible with electric wheelchairs

Reservation, payment, and cancellation terms:

The reservation must be made in writing, for example by email, and it becomes valid only after the Cinema Orion movie theater has confirmed the reservation in writing. An invoice will be sent to the renter after the event.

Any cancellations or changes should be made as early as possible, at least 10 days before the event.If the event is cancelled less than 10 days before it begins, Cinema Orion reserves the right to charge 50% of the rental fee. Cancellations made less than 24 hours before the event will be charged the full rental fee (100%).

Due to force majeure (e.g., water damage, fire, or vandalism), Cinema Orion reserves the right to cancel the reservation before the event without any obligation to provide compensation."

Damages:

The tenant is liable to fully compensate for any damages caused during the rental period to the premises or movable property, to the property owner, and/or to any third party.

Transfer of the agreement:

The tenant does not have the right to assign the agreement or transfer the reserved premises to a third party without the landlord’s consent.

Event Venue and Decorations:

The rental fee includes a possible visit to view the premises as well as the use of the premises during the agreed time. The rental period must also include the time required for event setup and final cleaning. Bringing your own furniture or equipment must be agreed upon separately with Cinema Orion. Flowers, cutlery, decorations, serving dishes, and table linens are not included in the rental fee. Cinema Orion provides three serving tables for the tenant’s use.

Conference and Presentation Equipment

The rental fee includes the use of the premises for the agreed time and number of guests, presentation equipment, and meeting technology (screen and video projector), as well as an operator/technical assistance. Please note that if 35 mm film copies are screened during the event, an additional fee of €40/hour + VAT will be charged for the film operator.

The rental price includes 30 minutes of technical testing (e.g., volume levels) prior to the event. Any technical testing exceeding 30 minutes will incur an additional charge.

If the screening copy (DCP) cannot be delivered on a hard drive to the theater and must be downloaded by the theater from the internet, a separate fee of €50 + VAT will be charged for the download.

NOTE! If multiple short films (in different formats) are to be screened during the event, we request that the films will be provided on a single hard drive arranged in the intended screening order.

The materials to be used during the event and their delivery must be agreed upon in advance with producer Jaana Rinta-Koskela ([email protected]).

Access to Cinema Orion and General Rules:

Opening of the Cinema Orion doors is to be arranged either as part of the rental agreement or on a case-by-case basis.

The tenant is responsible during the rental and setup period for ensuring that no unauthorized persons access the premises of Cinema Orion. For evening events, the time limit is 12:00 a.m.; after this, all exterior doors must remain closed.

Cinema Orion, its authorized representative, or the authorities have the right to interrupt the event if it is deemed to pose a risk or cause damage to the property, movable assets, or threaten the safety of persons on the premises. In case of disruptive behavior requiring the intervention of the police, a security guard, or the venue’s own staff, a fee of €100 will be charged. The event may also be interrupted if the rental terms are not followed.

Food and Beverages:

In events held at Cinema Orion, bringing your own food and drinks is permitted. Catering can also be ordered through the theater from its partner providers. The serving of personal alcoholic beverages must be agreed upon separately, noting that the sale or other compensated distribution of alcohol is prohibited unless the required official permit for alcohol service is obtained. If an alcohol permit is being applied for, Cinema Orion must be notified in advance. The tenant is responsible for obtaining any necessary official permits and for any consequences arising from failure to comply with regulatory requirements.

Cleaning:

At the end of the rental period, the tenant must remove all items they have brought into the premises unless otherwise agreed. The tenant is responsible for ensuring the premises are left in the same condition as at the start of the rental. The time required for cleaning must be included within the agreed rental period. If the required cleaning has not been completed by the agreed time, a fee of €100 will be charged for failure to clean.

Fire Safety and Water Damage:

Smoking inside Cinema Orion is strictly prohibited. Smoking is allowed only outdoors, in a manner that does not cause inconvenience. Cigarette butts must be disposed of in the designated containers and must not be discarded in the surroundings.

The premises are equipped with fire alarms, fire extinguishers, and fire blankets. In the event of a fire threat, attempts should be made to extinguish it immediately, guide people outside, and call for assistance. Emergency exits are marked and there are three emergency exit maps available.

In the event of a burst pipe, leak, or water damage, the tenant must immediately contact the landlord.

Other Important Information:

It is not permitted to nail, glue, or otherwise damage the walls, doors, or furnishings in the rented premises. Curtains may not be removed or moved without permission. Any damage to structures or furnishings, as well as any additional cleaning required by Cinema Orion, will be charged separately. When using personal furniture or equipment, care must be taken to ensure that the premises’ structures (walls, floors, ceilings) are not damaged.

Age Limits and Provision (Event Organizers):

If a film or films not included in Cinema Orion’s regular program are to be screened during the event, the renter must verify and ensure that the films have been age-rated in accordance with the Finnish Film Classification Act. The rating can be checked at: https://kavi.fi/en/search-agelimit/. If no age rating is available for the films, the renter must ensure age verification is carried out before the screening. Event Permit for Music Performance During the Event (Event Organizers):

The renter organizing a public film screening is responsible for obtaining an event permit from Teosto. An event permit is required if at a public event performs a band, orchestra or artist (live music) or if music is played during the event from a CD or DVD, or from a digital file (films) or from any other recording (mechanical music) or if karaoke is performed during the event.

The joint music usage license from Teosto and Gramex is intended for organizers of concerts, festivals, screenings, exhibitions, and other events, including companies, communities, associations, and private individuals.

Screenings organized for school students are considered public and therefore require a performance license. If the screening is held at a municipal or city school and is part of an event organized by the municipality or city, the municipality’s/city’s agreement covers both the film screening and any accompanying recorded background music. If the screening is at a private school, the school must obtain a performance license for the film screening.

Private events for a small circle of family and friends (weddings, funerals, birthdays, confirmation parties, etc.) are not considered public and therefore do not require licenses.

The permit must be applied for and obtained before the first event held under the permit, and it is required for both ticketed and free events. The permit is continuous (valid indefinitely), and once obtained, it is sufficient to report the details of events held under the permit through Teosto’s online service.

Music Usage Fee is event-specific, and its amount is based on
the information provided by the event organizer regarding each event’s use of music, the event’s revenue, and the number of attendees. The permit fee includes the music usage fees for both Teosto and Gramex. A 3% discount is granted if the event details are reported in Teosto’s online service no later than 14 days after the event. If the required information for invoicing is not submitted on time, the music usage fee for the event will be invoiced based on an estimated calculation.
